About the role

Key responsibilities & impact
  • Act as a first point of contact for Surrey IPS Employment Services, responding professionally to telephone calls, emails, referrals and general enquiries
  • Receive and process incoming referrals, checking completeness and identifying where further information is required
  • Undertake initial administrative triage in line with referral pathways, eligibility criteria and agreed procedures
  • Accurately input referral and client information into SystmOne and maintain high-quality, up-to-date records
  • Allocate and forward referrals to the appropriate team member
  • Monitor referral workflows and administrative tasks to ensure referrals progress promptly
  • Identify and correct administrative errors and maintain high standards of data quality
  • Provide administrative support to colleagues with SystmOne and other service processes
  • Answer Bradmere House telephone calls, take accurate messages and direct callers appropriately
  • Welcome people contacting the service and provide appropriate information, direction or signposting
  • Process invoices through Workday and support day-to-day administration at Bradmere House

Requirements

What you’ll need
  • Excellent organisational and administrative skills, with the ability to manage a varied workload and meet deadlines
  • Strong attention to detail and a commitment to maintaining accurate records and high-quality data
  • Good IT skills and confidence using computerised systems, with the ability to learn new systems such as SystmOne and Workday
  • Clear and professional communication skills, both verbally and in writing
  • A friendly, approachable and professional manner when dealing with service users, colleagues, professionals and members of the public
  • Ability to handle confidential and sensitive information appropriately and in line with information governance requirements
  • Good problem-solving skills and ability to identify incomplete information or need for clarification
  • Ability to work independently while contributing positively as part of a wider team
  • Flexible and proactive approach, with ability to respond to changing priorities
  • Understanding of quality standards, policies, procedures and accurate record keeping
