About the role

Key responsibilities & impact
  • Coordinate event logistics including registration, travel, lodging, catering, shipping, and on-site support
  • Maintain detailed project plans, timelines, and checklists for assigned events
  • Support agenda execution and run-of-show documentation
  • Manage speaker logistics, communications, and preparation materials
  • Coordinate with venues, audiovisual, production, and catering vendors
  • Track contracts, purchase orders, invoices, and payments with AP and Finance
  • Support sponsor and partner deliverables
  • Manage event tools including SurveyMonkey, FedEx, Spectra, VistaPrint, and Excel
  • Track attendee data, session attendance, and engagement metrics
  • Maintain organized event documentation and file organization
  • Provide on-site execution support, including registration, speaker support, and logistics troubleshooting
  • Support virtual event execution
  • Serve as a key operational point of contact during event days
  • Collect and organize post-event data and feedback
  • Support post-event reporting and recap materials
  • Document learnings and process improvements

Requirements

What you’ll need
  • 4 years of experience coordinating events, meetings, or marketing programs
  • Strong organizational skills and attention to detail
  • Ability to manage multiple projects and deadlines simultaneously
  • Excellent written and verbal communication skills
  • Comfort working with cross-functional teams and external vendors
  • Willingness to travel and support on-site events as needed (80% travel)
