About the role
Key responsibilities & impact- Provide comprehensive administrative support for two senior leaders in the Chief Technology Organization
- Support the SVP and VP with background information, meeting summaries, supporting documents, and materials for appointments, meetings, and speaking engagements
- Coordinate with other departments and maintain a detailed priority list of projects and commitments
- Design and prepare correspondence, memos, charts, tables, graphs, presentations, business plans, and duplicate materials
- Manage business-related finances, reconcile credit card statements, and process expense reports
- Handle and track invoices efficiently
- Facilitate information flow across organizational levels and external contacts
- Handle sensitive and confidential information with discretion
- Organize and manage appointments and meetings, including agendas, meeting facilities, and minutes
- Arrange domestic and international travel, including flights, hotels, and car rentals
- Write and edit business correspondence, reports, and other documents
- Maintain and organize departmental spreadsheets, files, and records
- Manage executive calendars and prioritize events
- Help manage commitments to maximize executive time efficiency
- Interact with all organizational levels and represent the SVP and VP professionally
Requirements
What you’ll need- Ability to prioritize and independently follow through on all tasks and projects
- Self-directed, self-motivated, CAN-do-WILL-do attitude
- Strong English oral and written communication skills
- Dependable, adaptable, flexible, poised, and articulate
- Strong event planning and organization skills
- Considerable discretion, judgment, confidentiality, and diplomacy
- Associate’s degree or equivalent work-related experience
- Minimum five (5) years of relevant experience
- Intermediate to advanced Microsoft Office Suite proficiency, including Outlook, Word, Excel, and PowerPoint
- Willingness to support the executive team and be on call 24/7
