About the role

Key responsibilities & impact
  • Lead day-to-day delivery of HHS acquisition workforce training conferences, industry days, industry roundtables, and reverse industry days
  • Manage event planning from kickoff through closeout, including integrated plans, schedules, milestones, risks, logistics, and contingencies
  • Coordinate Arlo event resources, Government stakeholders, senior leaders, speakers, vendors, and venue staff
  • Maintain action logs, decision logs, meeting minutes, status trackers, deliverable schedules, and event documentation
  • Deliver event status briefings, written reports, and responses to Government information requests
  • Support VIP, keynote speaker, and special guest coordination
  • Oversee venues, registration, accessibility, audiovisual and IT requirements, and virtual or hybrid platform setup
  • Manage event platforms including registration, speaker and session management, live streaming, Q&A, polling, recordings, and surveys
  • Lead technical rehearsals, dry runs, site walkthroughs, readiness reviews, and on-site event coordination
  • Manage awards ceremony run-of-show requirements, recipient staging, presenter coordination, scripts, and approved commemorative items
  • Coordinate event staff and volunteers and provide daily direction to event support staff
  • Liaise with audiovisual, production, photography, videography, banquet, and other subcontractor vendors
  • Obtain quotes, monitor incremental costs, and document authorized changes
  • Contribute to monthly and annual program reports and prepare progress reports
  • Develop and deploy participant assessments, compile results, and lead post-event briefings
  • Prepare post-event summaries, lessons learned, and after-action reports and track follow-up actions through closure
  • Ensure work products meet PWS standards, Section 508 requirements, and Government repository requirements

Requirements

What you’ll need
  • Bachelor's degree in business, communications, hospitality, public administration, or a related field
  • Five or more years of experience planning and executing large-scale in-person, virtual, and hybrid events, including at least two years in a lead or management role
  • Demonstrated project management skills, including scheduling, risk and issue tracking, stakeholder management, and deliverable management
  • Experience interacting professionally with senior executives, Government officials, or similarly high-level stakeholders
  • Hands-on experience with event management platforms such as Stova, Cvent, or comparable tools
  • Strong written and verbal communication skills and ability to manage multiple priorities under tight deadlines
  • Eligibility to work in the United States
  • Ability to successfully complete an HHS background investigation
