About the role

Key responsibilities & impact
  • Provide administrative support to two Senior Vice Presidents in the ASPCA Program division
  • Manage complex scheduling, calendars, conflicts, meetings, and communications for senior leadership
  • Coordinate travel logistics, itineraries, expense reports, and preparation for travel
  • Take meeting notes, track decisions, document next steps, and lead follow-up
  • Monitor organizational calendars and prepare SVPs and teams for planning, reviews, compliance training, and budget preparation
  • Partner with the Director and administrative colleagues to improve Program administrative functions and provide backup support
  • Support adoption and effective use of new technologies in partnership with IT
  • Plan and coordinate internal and external meetings and events, including travel, supplies, room setup, A/V, and catering
  • Gather feedback and improve meeting, communication, and team processes
  • Support budget detail collection, review, initial analysis, reporting, and data maintenance
  • Coordinate projects by tracking timelines, deliverables, documentation, communications, and issues
  • Create slide decks and visual representations of information

Requirements

What you’ll need
  • High School, GED or equivalent work experience required
  • 4 years of experience providing administrative support, including at least 1 year supporting executives
  • Experience managing calendars and providing logistical support for ongoing work and priorities
  • 1 year of experience booking travel arrangements for others
  • 1 year of experience making virtual and on-site meeting arrangements for others
  • 2 years of experience taking meeting notes and outlining and helping lead next steps
  • 1 year of experience supporting budget preparation and review
  • 1 year of experience completing expense reports for others
  • Strong organizational skills and ability to manage competing priorities and deadlines
  • Sound judgment, diplomacy, sensitivity, and confidentiality
  • Ability to work independently in a remote setting
  • Ability to plan, organize, and facilitate meetings
  • Strong verbal and written communication skills, including grammar, editing, and proofreading
  • Proficiency in Microsoft Office, including Outlook and Teams
  • Ability to learn new software quickly
  • Ability to exemplify ASPCA core values and behavioral competencies
  • Familiarity with Workday, Airtable, Box, and Canva preferred
  • Experience with event or conference planning preferred
  • Experience collecting and managing data sets preferred
  • Background in animal sheltering, veterinary medicine, or animal welfare a plus
  • English required
