About the role
Key responsibilities & impact- Assist the Purchasing HOD in maintaining smooth daily purchasing operations and achieving company objectives
- Generate purchase orders for common raw materials and indirect purchases after verifying purchase requisitions
- Coordinate material purchases with internal customers, warehouse teams, and suppliers for just-in-time delivery
- Source and purchase indirect materials, stationery, hardware, and services
- Support purchase requisitions, fixed assets, and petty cash purchases requested by internal teams
- Negotiate commercial terms for indirect purchasing, fixed-rate contracts, single-source materials, and other materials through RFQs
- Verify that purchase requisitions are properly issued, approved, costed, documented, and supported
- Convert purchase requisitions to purchase orders and send them to suppliers
- Analyze capacity and material availability to determine material schedules
- Communicate with planners and sales teams to understand demand
- Manage subcontracted material planning and semi-material delivery
- Maintain safety-stock inventory, practice prudent purchasing, and prevent overstocking
- Attend to production delivery complaints and follow up with suppliers and warehouse teams
- Request quotations, negotiate pricing and MOQs, and liaise with suppliers regarding samples, technical data sheets, safety data sheets, balance orders, damaged or incorrect deliveries, and rejected raw materials
- Create and maintain item codes and procurement information in the ERP system
- Handle import shipments and coordinate documentation for import clearance
- Prepare purchase reports, including cost analysis
- Maintain accurate, up-to-date, and properly filed records and documentation
- Review preferred supplier lists and add or remove suppliers
- Facilitate tenders for services and high-value orders
- Source new suppliers and products for new product development and supply-risk reduction
- Handle supplier quality issues with other departments for the company's commercial and technical benefit
- Work primarily in a manufacturing environment with moderate noise levels
- Travel required: 0%-10%
Requirements
What you’ll need- Bachelor's Degree in any disciplinary or equivalent
- Minimum 4 year's working experience in a related field, such as Procurement Officer, Materials Buyer, Tactical Purchaser, Technical Buyer, Purchasing Executive, or Supply Chain Executive
- High level of integrity, assertive, and honest
- Able to read and write in English and Mandarin
- Knowledge of Oracle
- Proficient in MS Office applications, including Word, Excel, and PowerPoint
- Familiarity with operating systems, including Windows
- Compliance with HID Global policies and procedures related to Quality, Security, Safety, Business Continuity, and Environmental systems
- Must be legally eligible to work in Malaysia
- Must be currently and legally authorized to reside and work in the hiring country
- Immigration sponsorship is not available
- International relocation or remote work arrangements outside of the hiring country will not be considered
