About the role
Key responsibilities & impact- Coordinate in-person and virtual events from planning through onsite delivery and post-event wrap-up
- Manage attendee and speaker communications, registrations, and meeting logistics
- Arrange and book faculty/delegate flights according to client travel policies
- Arrange visa applications where necessary in accordance with company policy
- Work with clients, venues, suppliers, and internal teams to deliver events smoothly, on time, and within budget
- Provide onsite support at events across the Americas
- Act as a key point of contact for attendees and stakeholders
- Oversee financial tracking, supplier management, compliance requirements, and reporting
- Support multiple projects simultaneously while maintaining client service standards
- Lead smaller meetings or repeat projects with guidance from senior team members
- Attend approximately 12 domestic/Latin American meetings per year
Requirements
What you’ll need- 2+ years' experience in event coordination within an agency, healthcare, pharmaceutical, or corporate setting
- Strong planning, organisational and multitasking skills
- Excellent communication and relationship-building abilities
- Exceptional attention to detail and a proactive, solutions-focused mindset
- Proficiency in Microsoft Office
- Ability to manage multiple projects and work confidently under pressure
- Flexibility to travel for events when required
- University education in Event and Festival Management, Business Admin or related field is advantageous
- Cvent experience is advantageous
