About the role
Key responsibilities & impact- Schedule medical appointments by coordinating patients, providers, facility resources, ancillary staff, records, referrals, authorizations and payers
- Receive and initiate calls with patients, providers, provider offices and facilities while following scheduling procedures and protocols
- Schedule appointments, tests and procedures using electronic medical record and scheduling software systems
- Identify alternative scheduling solutions while adhering to safety protocols
- Obtain and document patient demographics, insurance information, authorizations, referrals and medical information
- Provide appointment information, pre- and post-test instructions, locations and directions
- Answer questions within guidelines and refer medical questions to appropriate offices
- Set payment expectations and provide estimated payment details where applicable
- Communicate with patients, facilities, providers and clinical colleagues through phone, chat, email, electronic medical record messaging and other digital channels
- Solicit, label, store and manage scanned documents and orders in document imaging software
- Ensure required documents and compliant orders are received before appointments
- Collect pre-payments and verify insurance coverage where applicable
- Service inbound and outbound customer and staff communications for facilities across operating states
- Work with departments and staff to provide accurate managed care information
Requirements
What you’ll need- High school diploma/GED or equivalent working knowledge
- Minimum of 1 or more years of customer service or related experience in a healthcare setting, such as medical office/clinic or hospital scheduling
- Ability to provide essential customer service and knowledge in a high paced inbound contact center environment
- Ability to use technology tools to research and obtain accurate information via incoming calls, emails and/or instant messaging/chat avenues
- Demonstrated ability to utilize computer and typing skills
- Excellent interpersonal and communication skills
- Ability to follow oral and written directions
- Ability to acquire and utilize knowledge of the company’s customer information systems
- Excellent organizational and time management skills
- Accurate and efficient keyboarding skills
- Ability to work effectively with common office software
- Ability to meet deadlines and productivity standards
- Experience in an in-bound call center or scheduler in a practice management environment preferred
- Knowledge of payor contract terms and processes preferred
- Familiarity with medical terminology strongly preferred
- Additional related education and/or experience preferred
