About the role

Key responsibilities & impact
  • Support two Senior RN Clinical Services Officers and two HR Directors
  • Provide clerical and administrative services and assistance to senior leadership
  • Handle office situations and conflicts involving clerical and administrative functions
  • Summarize incoming materials, gathered information, and meetings for supervisors
  • Coordinate new information with background office sources and identify important aspects or conflicts
  • Interpret requests and help implement actions
  • Relay requests for action or information to appropriate staff when the supervisor is absent
  • Coordinate and complete recurring and one-time projects
  • Screen telephone calls and visitors and redirect them as appropriate
  • Provide callers with information about organizational policies, practices, operations, and internal or external resources
  • Maintain supervisors' calendars and arrange meetings, conferences, and appointments
  • Arrange hotel and travel accommodations for frequent, extended trips
  • Prepare reports, presentation materials, summaries, and replies to inquiries
  • Assist with research, analysis, and interpretation of data under management direction
  • Perform administrative support tasks requiring initiative and independent judgment
  • May hire, train, conduct performance reviews, and direct departmental staff workflow
  • Assign work to clerical staff and follow up on results
  • Interact extensively with senior leaders, board members, physicians, patients, employees, media, and business and community leaders

Requirements

What you’ll need
  • High school diploma/GED or equivalent working knowledge
  • Three to four years of administrative support experience at a progressively responsible level
  • Strong working knowledge of administrative/specialized business support services
  • Written communication skills to edit and proofread business correspondence and reports
  • Ability to type accurately and efficiently from rough draft and machine transcription or personal dictation
  • Proficiency using common word processing programs
  • Ability to acquire and utilize thorough knowledge of organization policies, practices, and operations
  • Oral communication skills for arranging meetings, responding to non-routine inquiries, and gathering background information for sensitive or confidential reports
  • Ability to analyze routine administrative details and resolve minor scheduling conflicts
  • Excellent oral, written, and interpersonal communication skills
  • Ability to convey a professional image and represent the organization with external customers
  • Working knowledge of personal software packages
  • For specified behavioral health clinical settings: Arizona Fingerprint Clearance Card at time of hire and an Arizona Criminal History Affidavit signed upon hire
