About the role

Key responsibilities & impact
  • Assist Board EAs and support the wider administration team
  • Set up meetings by booking rooms, providing refreshments, collating agendas and paperwork, and greeting external guests
  • Assist with hospitality and special events, including company and industry events, Board meetings, client dinners, conferences, and awards ceremonies
  • Book travel, hotels, restaurants, and related hospitality administration
  • Organise, research, and book event venues
  • Organise staff and client gifting
  • Complete Directors’ monthly expenses on Concur
  • Coordinate payments and ensure invoices are paid on time
  • Raise and monitor purchase order requests on D365 and obtain relevant authorisations
  • Administer new supplier and compliance forms
  • Communicate with relevant teams to ensure necessary information is shared
  • Keep data systems up to date
  • Support the UK People Team with diary management for team meetings, events, and travel
  • Provide backup for People (HR) administration, including contracts, offer letters, employment changes, system data input, starters, leavers, and benefits

Requirements

What you’ll need
  • Experience in a Team Assistant or administration role
  • Excellent time management skills with the ability to prioritise and plan effectively
  • Ability to remain calm and work well under pressure in a fast-paced environment
  • Reliable, confident with assertive personality and team player spirit
  • Can-do attitude and willingness to undertake varied tasks
  • Proficiency in Microsoft Office including Outlook, Word, Excel, and PowerPoint
