About the role

Key responsibilities & impact
  • Support the Senior Director, Marketing Operations in operationalizing a centralized marketing delivery model
  • Develop and improve intake processes, workflows, standards, templates, governance practices, and project-management best practices
  • Administer structured intake and prioritization for marketing requests
  • Document objectives, audiences, KPIs, messaging, channels, deliverables, timelines, owners, dependencies, approvals, and success measures
  • Translate campaign priorities into briefs and executable project plans, schedules, milestones, budgets, resource assignments, review cycles, and channel handoffs
  • Coordinate work across Communications, Creative, Marketing Operations, Product Marketing, Growth Marketing, business stakeholders, and external partners
  • Facilitate kickoffs, status meetings, reviews, approvals, and check-ins; document decisions and drive action-item follow-through
  • Prepare project dashboards and leadership updates covering status, decisions, risks, resource needs, delivery performance, and next steps
  • Monitor schedules, budgets, dependencies, risks, issues, resource capacity, quality, rework, on-time delivery, service-level adherence, and campaign readiness
  • Adjust plans, remove blockers, and escalate issues to the Senior Director as needed
  • Maintain a centralized source of truth for briefs, plans, status updates, approvals, assets, decisions, and project records
  • Use Microsoft 365, Microsoft Lists, Smartsheet, Jira, and other project-management platforms
  • Maintain templates, toolkits, playbooks, and repeatable workflows
  • Apply Agile principles and project-management technology to improve adoption, visibility, resource planning, and delivery efficiency
  • Comply with company policies, procedures, and applicable regulatory requirements
  • Perform other duties as assigned

Requirements

What you’ll need
  • Bachelor's degree in Marketing, Communications, Business, or a related field
  • 10+ years of professional experience, including at least 5 years managing marketing projects, campaigns, or cross-functional initiatives
  • Ability to manage multiple deadline-driven projects and competing priorities
  • Experience managing project intake and prioritization across cross-functional teams
  • Experience applying Agile principles or iterative delivery practices to marketing work
  • Exceptional attention to detail and strong written, verbal, facilitation, interpersonal, organizational, proofreading, and documentation skills
  • Proficiency with Microsoft 365 applications, including Microsoft Lists, Smartsheet, Jira, and other project-management or work-management platforms
  • Ability to learn and administer multiple applications, maintain accurate data, identify process improvements, and implement scalable workflows
  • Equivalent combination of education and experience may be considered
  • Preferred: Agency project management experience
  • Preferred: Project management training or certification, such as PMP
  • Preferred: Experience in healthcare, biotechnology, diagnostics, or another regulated industry
  • Preferred: Experience supporting integrated campaigns, creative operations, or an internal agency-style marketing team
