Front Office Specialist
Behavioral Health Clinic. Acquire and maintain understanding of BHC services, HIPAA policies, billing and insurance policies, facilities, locations, clinicians’ schedules, and specialties .
About the role
Key responsibilities & impact- Acquire and maintain understanding of BHC services, HIPAA policies, billing and insurance policies, facilities, locations, clinicians’ schedules, and specialties
- Greet patients and guests in a cheerful and welcoming manner
- Manage patient and visitor needs, including confirming demographic information and facilitating check-in and check-out
- Assist patients and visitors with necessary forms
- Request and collect payment for services
- Schedule appointments and complete follow-up documentation
- Maintain a tidy and welcoming waiting area, hallway, and front office
- Answer incoming calls and manage callers’ needs
- Take, prioritize, and communicate messages regarding schedule changes and other matters
- Communicate information about BHC services, policies, facilities, and clinicians
- Update patient records accurately and promptly
- Ask callers and patients how they heard about BHC and how the clinic can better assist them
- Check voicemail, company email inboxes, and fax machine at least every 30 minutes and process inquiries
- Maintain clinician schedules across all programs; review for errors, resolve conflicts, and manage the client waiting list
- Prepare next-day clinician schedules, testing supplies, new client charts, and room usage schedules
- Leave detailed shift notes regarding open items and priorities
- Place outbound calls regarding appointments, payments, records requests, insurance verification, outreach, and customer service
- Maintain inventory and order office and facility supplies
- Maintain records related to facilities, supplies, and equipment
- Troubleshoot hardware and software issues
- Coordinate with external service providers for advanced technical support
- Complete other assigned tasks, including projects, mailings, chart audits, proofreading, outreach, and filing
- Report to the Director of Operations
Requirements
What you’ll need- Strong verbal and written communication skills with a positive and confident tone
- Ability to multitask with a high degree of detail orientation
- Ability to troubleshoot dynamic conversations and resolve conflicts calmly
- Knowledge and general proficiency in Microsoft Office programs, internet-based email programs, and social media sites
- Experience with general office equipment, including Zoom phone systems, multi-line phones, merchant account hardware, and video conferencing software and hardware
- High level of self-motivation and initiative
- Ability to problem-solve and organize tasks according to organizational priorities
- Ability to take responsibility for own actions and decisions
- Ability to act with personal integrity and follow through on commitments
- Ability to function and thrive within a team environment
- Knowledge and general proficiency with health care billing and insurance preferred
- Ability to be flexible with availability based on routine service fluctuations of the clinic
- Willingness to learn
- Comfort with computers is a must
- Proficiency using electronic medical records (EMR)
- Successful candidates must complete Form I-9 (Employment Eligibility Verification)
- Successful candidates must undergo a background check
