About the role

Key responsibilities & impact
  • Perform administrative tasks supporting the division's mission and goals across multiple clinical departments
  • Provide functional guidance to other administrative staff
  • Answer and screen telephone calls; take messages and direct calls
  • Greet and direct patients, families, visitors, and staff
  • Type, format, proofread, and edit correspondence, forms, reports, manuscripts, and other materials
  • Schedule appointments, meetings, conferences, seminars, and department-sponsored events
  • Maintain calendars, organize conference calls, reserve meeting locations and equipment, and prepare agendas and materials
  • Arrange travel as needed
  • Maintain departmental files, records, databases, and reference library
  • Enter data into databases and spreadsheets; compile and distribute reports and other information
  • Communicate with vendors, staff, patients, visitors, and other customers while maintaining confidentiality
  • Maintain office equipment and supplies; order, receive, and reconcile supply orders and invoices
  • Prepare, route, and track administrative forms and documents; resolve delays and errors
  • Perform clerical duties including mail sorting, photocopying, collating, and distributing documents
  • Facilitate problem solving and provide direction, information, and training to others

Requirements

What you’ll need
  • High School diploma or GED required
  • 3-5 years related work experience required
  • Advanced skills with Microsoft applications, which may include Outlook, Word, Excel, PowerPoint or Access, and other web-based applications
  • Ability to produce complex documents, perform analysis, and maintain databases
  • Must be vaccinated against influenza as a condition of employment
