About the role

Key responsibilities & impact
  • Report to the Practice Manager or Ambulatory Practice Coordinator, with input from assigned physicians, nurses or other health care providers
  • Deliver high-quality service to patients while contributing to smooth practice operations
  • Greet patients and visitors courteously while maintaining service, respect and privacy
  • Serve as a central communication source in patient care delivery
  • Provide accurate information, directions and guidance, and follow up promptly
  • Perform check-in, registration, scheduling, demographic and fiscal data verification using a computer system
  • Collect co-payments according to processing standards
  • Schedule, reschedule and cancel appointments
  • Obtain and enter referrals
  • Perform practice-specific duties such as check-out, follow-up appointment scheduling, providing educational materials, visit ticket entry and medical records preparation
  • Maintain a clean and welcoming reception area
  • Maintain reception signage and displayed information
  • Monitor audio or visual programming and volume levels
  • Contact departments for needed repairs or services and follow up
  • Monitor and support patients and visitors entering and leaving the practice
  • Facilitate timely patient flow and proactively resolve flow issues
  • Liaise between patients, practice staff and other areas to optimize flow and service delivery

Requirements

What you’ll need
  • High School diploma or GED required
  • Certificate 1 Medical Admin Assistant Cert preferred
  • 0-1 years related work experience required
  • Experience with computer systems required, including web based applications and some Microsoft Office applications which may include Outlook, Word, Excel, PowerPoint or Access
  • Ability to read and write in English
  • Ability to understand spoken English
  • Ability to communicate effectively with patients, families and medical center staff in basic English
  • Ability to demonstrate basic knowledge of fundamental concepts, practices and procedures
  • Ability to interact respectfully with employees, professional staff and/or external contacts
  • Ability to provide a high level of customer service using active listening and problem solving
  • Ability to remain calm in stressful situations
  • Ability to exert up to 20 pounds of force frequently to move objects
  • Ability to stand for periods of time or move throughout the hospital campus
  • Must be vaccinated against influenza as a condition of employment
