About the role

Key responsibilities & impact
  • Report to the Practice Manager or Ambulatory Practice Coordinator, with input from assigned physicians, nurses or other healthcare providers
  • Deliver high-quality service to patients and contribute to smooth practice operations
  • Greet patients and visitors courteously while maintaining service, respect and privacy
  • Serve as a central communication source in patient care and take appropriate action to diffuse challenging situations
  • Collect complete and accurate information from patients and callers
  • Maintain patient confidentiality
  • Perform check-in, registration, scheduling and demographic-information verification
  • Register patients in computer systems and ensure demographic and fiscal data accuracy
  • Schedule, reschedule and cancel appointments
  • Obtain and enter referrals and collect co-pays
  • Monitor and support patients and visitors entering and leaving the practice
  • Facilitate timely patient flow and proactively resolve flow issues
  • Act as liaison between patients, practice staff and other areas
  • Maintain a clean and welcoming reception area, signage and displayed information
  • Monitor audio or visual programming and volume levels
  • Contact appropriate departments for repairs or services and follow through
  • Ensure Spanish translation services are provided for Spanish-speaking patients and employees when needed

Requirements

What you’ll need
  • High School diploma or GED required
  • 1-3 years related work experience required
  • Experience with computer systems required, including web based applications and some Microsoft Office applications, which may include Outlook, Word, Excel, PowerPoint or Access
  • Ability to communicate clearly and effectively in written English
  • Ability to comprehend and converse in English
  • Working knowledge of standard concepts, practices, procedures and policies
  • Ability to provide high-level customer service using active listening and problem-solving skills
  • Ability to remain calm in stressful situations
  • Ability to exert up to 10 pounds of force occasionally and perform sitting, walking and standing as required
  • Certificate 1: Medical Admin Assistant Cert preferred
