About the role
Key responsibilities & impact- Own project intake, scoping, and kickoff for creative work
- Establish briefs, deliverables, and dates with account teams and creative leads
- Own meeting cadence and coordinate client and internal meetings
- Build and drive project schedules across print, digital, content, video, and animation workstreams
- Direct content and asset flow between account management, creative teams, and clients, including reviews, approvals, routing, and version control
- Maintain active projects in the project management system with visible status, priorities, and capacity
- Coordinate departmental handoffs for estimation, production, fulfillment, and onsite delivery
- Build estimates and manage project budgets, hours, materials, invoices, and scope tracking
- Plan resourcing with discipline leads and balance workload across concurrent programs
- Oversee print production coordination, vendor timelines, proofing, and press checks
- Coordinate creative deliverables for live environments including staging, scenic, AV, screen content, signage, and show flow
- Attend assigned events onsite to coordinate scripting, content, flow, and creative project needs
- Participate in brainstorms and help shape session content and program narratives
- Create, document, and improve workflows, templates, and systems
Requirements
What you’ll need- 2+ years of project management experience, ideally in an agency or with creative teams
- Track record of running multiple concurrent projects across print, digital, video, and content
- Knowledge of Asana or a comparable project management platform
- Ability to create workflows from scratch, document processes, and drive team adoption
- Understanding of where creative work meets onsite production
- Familiarity with staging, AV, scenic, and show execution
- Experience with content development and creative ideation strategies
- Budget management skills, including estimating, tracking hours, processing invoices, and reporting against scope
- Excellent communication and ability to build trusted relationships with internal teams, clients, and vendor partners
- Composure and professionalism under tight deadlines and fast-changing priorities
- Extraordinary attention to detail
- Proficiency in Microsoft Office and Adobe Acrobat
- Event industry experience, such as corporate events, incentives, production, or experiential marketing (preferred)
- Working knowledge of print production guidelines and press check terminology (preferred)
- Willingness/availability to travel onsite for assigned events
