About the role
Key responsibilities & impact- Own the end-to-end planning and execution of conferences, industry trade shows, virtual executive roundtables, and company-hosted events
- Lead project management for Blooming Days, including in-person summits and virtual programming
- Define event objectives, audiences, themes, and success measures with company leadership
- Manage event timelines, vendors, budgets, deliverables, attendee communications, and internal responsibilities
- Track leads, opportunities, and pipeline generated through conferences, webinars, and Blooming Days events
- Coordinate integrated, multi-channel marketing campaigns
- Develop project scopes, timelines, milestones, ownership structures, and task dependencies
- Ensure campaign assets, collateral, approvals, and cross-functional deliverables are completed on schedule
- Collaborate with Sales, Product, Design, leadership, and external agencies to resolve roadblocks
- Provide stakeholders with updates on progress, risks, priorities, and deadlines
- Oversee HubSpot use across marketing automation, attribution, data hygiene, and Sales alignment
- Partner with operations and automation resources on platform maintenance
- Manage website optimization initiatives with external vendors, focusing on user experience and conversion
- Monitor team capacity, coordinate tactical assignments, and track campaign and event spending against approved budgets
- Help implement and improve project management tools and processes, including Trello
- Own the speaker pipeline for Blooming Days, conferences, webinars, and co-marketing initiatives
- Coordinate speaker outreach, scheduling, preparation calls, asset collection, and event-day requirements
- Maintain relationships with speakers and encourage repeat participation
- Lead marketing projects for external advisors and translate strategic input into actionable initiatives
- Coordinate with healthcare executives, partners, payers, providers, and other industry stakeholders
- Manage marketing dashboards and reporting
- Track funnel conversion, lead velocity, MQL-to-SQL conversion, campaign performance, event ROI, and customer discovery metrics
- Produce weekly and monthly reporting for marketing and company leadership
- Standardize campaign and event intake procedures, approval workflows, and request frameworks
- Identify operational bottlenecks and implement solutions to improve execution speed and accountability
Requirements
What you’ll need- Bachelor’s degree in Marketing, Communications, Healthcare Administration, Business, or a related field
- At least five years of experience in marketing project management, event management, marketing operations, or an agency environment
- Experience working within healthcare, health technology, payer, provider, or B2B SaaS organizations
- Demonstrated success managing conferences, executive events, speaker programs, or other complex marketing initiatives from planning through completion
- Strong experience with HubSpot or a comparable CRM and marketing automation platform
- Proficiency with project and work management tools such as Trello, Asana, Monday.com, or similar platforms
- Strong understanding of project scoping, timeline management, budgeting, resource allocation, and risk management
- Ability to manage multiple priorities and stakeholders in a fast-paced, evolving environment
- Excellent written and verbal communication skills
- Strong attention to detail, follow-through, and personal accountability
- Working knowledge of healthcare payer and provider terminology
- Experience planning executive-level healthcare events or industry conferences (preferred)
- Experience measuring event attribution, campaign ROI, and marketing-sourced pipeline (preferred)
- Familiarity with website optimization and conversion-rate improvement projects (preferred)
- Project Management Professional (PMP) certification (preferred)
