About the role
Key responsibilities & impact- Lead planning and execution of assigned events from kickoff through post-event follow-up
- Manage timelines, milestones, deliverables, event flow, run-of-show, staffing plans, and onsite execution
- Source venues and vendors, negotiate contracts, and manage vendor relationships
- Oversee setup, food and beverage, A/V coordination, onsite operations, and third-party partner alignment
- Manage event budgets, forecasts, actuals, cost management, and event profitability
- Support marketing campaigns, nomination and application processes, event websites, and registration pages
- Oversee registration, guest lists, seating assignments, floorplans, attendee communications, and surveys
- Review and print event materials, coordinate creative and production proofing, and fulfill sponsor deliverables
- Serve as the primary point of contact for event coordination and questions
- Work cross-functionally with sales, editorial, production, and marketing teams
- Provide leadership updates on event progress and milestones
- Support sponsor fulfillment, ticket sales, discount codes, attendance tracking, and post-event reporting
- Lead onsite execution, real-time problem solving, setup, breakdown, and overall event experience
Requirements
What you’ll need- 3–5+ years of event planning, project management, or related experience
- Strong organizational and multitasking skills with high attention to detail
- Proven ability to manage multiple priorities in a fast-paced environment
- Ability to work independently while collaborating effectively across teams
- Strong communication skills and an outgoing, professional presence
- Willingness to travel approximately 30–50% depending on event schedule
- Proximity to a major airport in the Midwest or Pacific Northwest preferred
- Reliable home internet connection with minimum 50 Mbps upload and 10 Mbps download speeds
