About the role

Key responsibilities & impact
  • Oversee the maintenance program, directly supervise maintenance staff, conduct property inspections, and monitor work orders
  • Manage project and construction activities, acquire bids, and complete repair projects efficiently and timely
  • Develop working relationships, cultivate teamwork, and provide exemplary customer service
  • Suggest and provide training opportunities for direct reports, self, staff, and partners as needed
  • Represent the organization positively to public agencies and the community
  • Provide guidance on property matters and report resident issues
  • Establish 24/7 emergency maintenance coverage and respond to after-hours emergencies
  • Ensure preventative maintenance is completed professionally and on time
  • Inspect properties to verify mechanical devices, structures, safety, and attractiveness
  • Review and ensure timely completion of work orders
  • Prepare capital replacement lists for budget preparation
  • Bid, select, and oversee plumbers, contractors, electricians, and other vendors; negotiate service agreements
  • Schedule repairs and service contracts, providing service providers at least 24 hours’ notice except in emergencies
  • Ensure positive move-in and tenancy experiences for service providers/tenants
  • Communicate work-order, service-schedule, and inspection status clearly
  • Apply a person-centered approach focused on tenant retention and customer service
  • Manage portfolio finances and maintain accurate financial records
  • Supervise rent and other money collection and transaction processing
  • Review delinquent accounts and receivables and determine collection actions with the Regional Manager
  • Reconcile lease information with monthly rent rolls
  • Report unusual incidents that could become insurance claims or lawsuits within 24 hours
  • Review and approve capital expenditures, service contracts, and repairs; ensure timely invoice submission
  • Manage reserve-for-replacement and special funding processes
  • Collaborate on tax-exemption compliance
  • Maintain accurate, organized maintenance records using applications such as Box or Salesforce
  • Follow leases, management agreements, accounting procedures, and department policies
  • Collaborate to ensure compliance with Regional Centers, State Licensing, fair housing, tenant/landlord laws, funder rules, and building, fire, safety, ADA, and local requirements
  • Verify vendors are professional, insured, and actively licensed in good standing

Requirements

What you’ll need
  • Minimum of 1 year of property management experience
  • Experience in affordable and/or supportive housing strongly preferred
  • Experience working with people with disabilities preferred
  • Knowledge of construction, repair, and/or renovation experience preferred
  • Strong Project and Construction Management Skills
  • Excellent critical thinking and problem-solving skills
  • Capacity to handle multiple projects and complex tasks in a fast-paced setting
  • Strong time management and attention to critical deadlines
  • Ability to adjust priorities under deadline pressure
  • Fluency with standard office technology, including databases and e-filing systems, and the capacity to quickly master new technology
  • Proficiency in Word, Excel, and Outlook
  • Effective communication skills, especially across teams, departments and organizations
  • Strong interpersonal skills, including customer service
  • Experience directing staff
  • Some understanding of housing development
  • Careful attention to detail
  • Assertiveness, persistence, and follow-through
  • A valid, clean CA driver’s license and a personal insured vehicle are required
  • Physical mobility for standing, bending, stooping, kneeling, crouching, reaching, twisting, and walking on uneven surfaces
  • Ability to manipulate hands, fingers, and wrists to handle, feel, grasp, or operate hand/power tools, parts, controls, and equipment
  • Ability to perform stationary tasks such as sitting for up to 6 to 8 hours a day
  • Ability to lift, carry, push, and pull light to moderate weights up to 50 pounds safely; weights over 50 pounds require assistance or a dolly
  • Mental acuity for analytical reasoning and document interpretation
  • Ability to work around traffic, dust, dirt, heights, noise, fumes, oil, gas, paint, power tools, and cleaning solvents with proper PPE
