About the role

Key responsibilities & impact
  • Act as the main point of contact between the Executive Managing Director and internal/external clients and vendors
  • Support planning, organizing, and facilitating meetings, including setup and troubleshooting of virtual meeting platforms such as Teams
  • Manage complex calendars, schedule meetings, and coordinate appointments
  • Coordinate and manage travel arrangements, including flights, hotels, ground transportation, and dining reservations
  • Build detailed itineraries consolidating confirmations, timing, addresses, and contact information
  • Monitor flight status and travel alerts and proactively rebook or adjust plans
  • Reconcile travel-related expenses and receipts and submit expense reports
  • Produce polished presentations using PowerPoint, Excel, and Claude
  • Complete expense reports and other financial reports
  • Collect and analyze data for budget, project, and program initiatives
  • Prepare and edit correspondence
  • Prepare agendas, notices, minutes, and resolutions using collaborative document tools
  • Support company initiatives and cross-functional projects
  • Maintain confidentiality and exercise discretion with sensitive information
  • Work with leadership, teammates, vendors, clients, and carriers
  • Continue professional development related to executive support tools and technologies

Requirements

What you’ll need
  • Bachelor's Degree (BA/BS) in a business-related field is preferred, with three (3) years of related experience as an Executive Assistant; other combinations of work and/or education will be considered
  • Intermediate to Expert Microsoft Office skills, specifically PowerPoint, Excel, and Teams
  • Comfort with data visualization and reporting tools, such as Excel pivot tables/charts, Power BI, or similar
  • Experience with e-signature and digital document management platforms, such as DocuSign
  • Ability to manage sensitive information with absolute confidentiality
  • Strong judgment and proactive problem-solving
  • Technical fluency across digital tools and platforms
  • Effective organizational, communication, interpersonal, adaptability, initiative, reliability, productivity, and continuous improvement skills
