About the role
Key responsibilities & impact- Support the HVAC Field Operations Team, including Special Projects, UHP, Quality Assurance, and Project Managers.
- Help keep projects organized, schedules coordinated, and communication flowing between stakeholders.
- Monitor procurement, fulfillment, and shipping activities.
- Assist with schedule management and coordinate communication among teams, contractors, and customers.
- Create and verify work order data and tickets for installation support.
- Track and update project status and close out work orders.
- Assist with resolving customer or project-related issues.
- Create and assign project work orders for contractors and internal teams.
- Update contractor and internal-team data in project tracking systems.
- Request and manage project documentation, including as-builts, permits, and equipment manuals.
- Maintain forecasting and reporting spreadsheets.
- Coordinate project meetings, document discussion points, and distribute minutes or follow-up items.
- Manage internal SharePoint folders and documentation.
- Track equipment orders, material warranty claims, and equipment RMAs with Fulfillment.
- Support Accounts Payable with invoice routing.
- Review Injobs and FSG data and documentation before work-order closeout.
- Coordinate warranty service requests and contractor dispatchers, track issue resolution, and update internal systems.
- Support leadership with workflow-change documentation and communication.
- Support customer satisfaction by documenting, reporting, and helping resolve project-related issues.
Requirements
What you’ll need- Bachelor’s degree preferred, but not required.
- 2+ years of proven work experience as a Project Coordinator, Project Administrator, or similar role.
- Exceptional organizational skills, including the ability to multitask and manage time effectively.
- Strong client-facing, communication, and teamwork skills.
- Proficiency using computers and business software for a variety of administrative and project-related tasks.
- Excellent verbal, written, and presentation skills.
- Competency in Microsoft applications, including Word and Excel.
