About the role

Key responsibilities & impact
  • Answer phones professionally and field member requests, including during high-volume course registration periods
  • Provide customer service and education to participants regarding Shortman Fund benefits and eligibility issues through face-to-face and phone interactions
  • Collect and analyze data and information to resolve participant problems in real time
  • Process eligibility and presumptive eligibility requests using relevant systems
  • Manage an inventory of participant inquiries, complaints, eligibility questions, and course/seminar requests
  • Communicate effectively with members
  • Enter assigned instructor grades into the LMS database
  • Review instructor LMS tasks for completion and accuracy and resolve errors within one week
  • Maintain LMS and NYS DOL records for the Window Cleaning Apprenticeship program
  • Maintain departmental standards on CISCO regarding login, ready state, and scorecard quality monitoring
  • Perform other functions assigned by management
  • Work under the supervision of the Office Manager and Evening/Weekend Manager
  • Travel locally to other training sites as required

Requirements

What you’ll need
  • High School diploma, GED or equivalent experience
  • Fluently read, write and speak Spanish and English
  • Experience working directly with customers
  • Call Center experience and Customer Service background is a plus
  • Ability to manipulate and use multiple software programs and macros simultaneously, including Excel, Microsoft Word, and Windows applications
  • Typing 40+ words per minute
  • Strong analytical, problem solving and decision-making skills
  • Ability to learn eligibility and presumptive eligibility processes, LMS, V3, and online training fund systems
  • Knowledge of course prerequisites and required certifications in the Shortman catalog
  • Ability to prioritize work and meet deadlines
  • Excellent organizational and prioritizing skills
  • Strong ability to multitask using oral, visual and tactile senses simultaneously
  • Flexibility with work schedule
  • Ability to travel locally to other training sites as required
  • Strong oral and written interpersonal skills
  • Demonstrated customer service orientation
  • Ability to effectively operate in a fast-paced work environment
  • Excellent listening skills
  • Detail oriented with excellent organization and communication skills
  • No certificates, licenses, or registrations required
