About the role

Key responsibilities & impact
  • Provide centralized operational and administrative support across Burlington’s Culture & Community Impact organization
  • Coordinate workflows, maintain visibility to priorities and deadlines, facilitate cross-functional processes, and support administrative execution of enterprise programs
  • Coordinate departmental communications, project administration, operational processes, and enterprise meetings
  • Serve as the primary coordination point between Culture & Community Impact and Internal Communications
  • Facilitate communication intake, routing, approvals, publishing schedules, and execution timelines
  • Manage communication request workflows and department communication calendars
  • Maintain project trackers, milestone schedules, operating calendars, status reports, action-item logs, resource libraries, templates, procedures, and documentation repositories
  • Track project status, dependencies, risks, and stakeholder commitments and provide updates to department leaders
  • Support annual planning cycles, business reviews, planning sessions, leadership meetings, and departmental operating reviews
  • Process invoices, purchase orders, vendor payments, reimbursement requests, procurement activities, vendor onboarding, budgets, forecasting, and reconciliation/reporting activities
  • Coordinate shipping, supply ordering, inventory management, material distribution, vendor relationships, contracts, and implementation activities
  • Schedule and coordinate enterprise-facing meetings, workshops, planning sessions, leadership forums, and culture-related meetings
  • Coordinate room reservations, attendee communications, registration, catering, meeting materials, and technology requirements
  • Support logistics for associate engagement, community impact, recognition, culture, and enterprise events
  • Assist with onsite setup, supply management, and post-event administrative follow-up
  • Manage Associate Assistance Fund employee verification requests and supporting documentation
  • Support Tuition Assistance program administration, including invoice collection, processing coordination, tracking, and record management
  • Maintain program documentation and support compliance, audit, and retention requirements

Requirements

What you’ll need
  • Associate degree or equivalent combination of education and experience
  • 3-5 years of experience in project coordination, program administration, communications, human resources, operations, events, or related functions
  • Experience supporting multiple leaders, projects, or enterprise initiatives simultaneously
  • Experience managing workflows, approvals, calendars, project trackers, and reporting tools
  • Experience coordinating meetings, communications, and stakeholder deliverables
  • Strong project coordination and organizational skills
  • Exceptional attention to detail and follow-through
  • Strong written and verbal communication skills
  • Ability to manage multiple priorities and deadlines in a fast-paced environment
  • Strong relationship-building and stakeholder management skills
  • Ability to identify risks, dependencies, scheduling conflicts, and process gaps
  • Ability to influence progress and accountability without direct authority
  • High level of professionalism, customer focus, and confidentiality
  • Advanced proficiency in Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams
  • Experience with SharePoint, Smartsheet, Workday, Power BI, Microsoft Planner, or similar collaboration and project management tools preferred
  • This is a hybrid position requiring travel to Burlington Corporate Headquarters
  • Based in U.S. Eastern Time Zone, ideally NJ/PA/NY based
  • Ability to sit, stand, and move throughout corporate facilities for extended periods
  • Ability to lift and transport boxes, supplies, event materials, and merchandise weighing up to 40 pounds
  • Ability to work occasional evenings or extended hours in support of department meetings, events, and enterprise initiatives
