About the role
Key responsibilities & impact- Own the monthly close, including journal entries, reconciliations, and the close calendar
- Manage accounts payable and accounts receivable
- Oversee the outsourced bookkeeper and serve as the primary point of contact
- Maintain accurate expense coding and documentation across four offices
- Keep accounting policies and procedures current
- Support the transition from outsourced to in-house bookkeeping and supervise the staff accountant once hired
- Answer staff questions about expense reimbursement and escalate as needed
- Support year-end filings, including 1099 forms
- Set up and track grants, including budgets, restrictions, reporting deadlines, spending, and variances
- Manage restricted revenue recognition and release from restriction
- Allocate expenses across grants and entities
- Prepare financial reports for funders
- Run overhead allocation analyses for grant proposals
- Maintain cost allocation between the 501(c)(3) and 501(c)(4) entities
- Support timekeeping and allocation practices
- Partner on lobbying, electoral, and PAC compliance
- Help ensure accurate PAC deposits, reimbursements, and reporting
- Produce monthly budget-to-actual reports and walk department leads through them
- Support annual budgeting and monthly forecasting
- Support the annual audit and Form 990 preparation
- Provide backup coverage for routine Finance Director responsibilities during planned absences
- Partner with the Finance Director and department leads across the organization
Requirements
What you’ll need- Roughly four or more years in accounting or finance, with meaningful time in a nonprofit setting
- Bachelor's degree in Accounting, Business Administration, or a related field required
- Experience owning or substantially supporting a monthly close
- Comfort with grant accounting, including tracking restricted funds and preparing funder reports
- Working knowledge of GAAP and nonprofit financial reporting
- Strong QuickBooks Online skills or ability to learn a comparable system quickly
- Fluency in Excel
- Clear, patient communication skills for translating financial information to non-finance colleagues
- Strong organization and follow-through across multiple offices, grants, and entities
- Interest in the organization's environmental mission
- Experience with 501(c)(3) and 501(c)(4) structures is welcomed
- Familiarity with PAC accounting and California political reporting requirements is welcomed
- Experience with Paylocity or a comparable payroll platform is welcomed
- Experience supervising staff or managing outside contractors is welcomed
- Experience supporting an audit from the preparer's side is welcomed
