About the role

Key responsibilities & impact
  • Manage customer order fulfillment, open orders, service issues, and resolutions
  • Act as the primary liaison between customers, sales, and cross-functional departments
  • Generate weekly open billable orders reports for sales
  • Review and maintain open orders, resolving delivery blocks, billing blocks, and incomplete order statuses
  • Document delays and order changes accurately
  • Support new account setup with Customer, Sales, Legal, and Finance
  • Coordinate with 3PL, supply chain, and sales to manage customer expectations and fulfill orders
  • Maintain customer equipment records and facilitate upgrades
  • Support the Equipment Evaluation program and coordinate shipments, returns, or purchase conversions
  • Investigate and process credits, debits, and Returned Goods Authorizations
  • Facilitate trunk stock requests and conduct monthly audits and reconciliations
  • Generate monthly reconciliation performance reports for leadership
  • Answer incoming and outbound customer calls and emails
  • Respond to emails professionally, accurately, and promptly
  • Document customer interactions according to Standard Operation Procedures
  • Adhere to processes, policies, and procedures
  • Escalate issues as needed
  • Identify and document process changes and improvements with Customer Service Management
  • Report to the Customer Service Manager

Requirements

What you’ll need
  • High school diploma
  • Minimum 5 years' experience in a customer service role in the medical device or durable medical equipment industry, or equivalent combination of education and experience
  • Work location: Remote (West Coast)
  • Travel: 10%
  • Full time employment
  • Excellent interpersonal and phone etiquette skills
  • High degree of attention to detail and ability to multi-task in a fast-paced environment
  • Problem resolution, follow-up, planning and organizational skills, including ability to meet deadlines
  • Ability to work independently and on a team utilizing effective time management
  • Proficient with typing and MS Word, Excel, Outlook, and Teams
  • Ability to learn quickly and adapt to new technologies and applications
  • Netsuite, SalesForce, and QuickBooks system experience preferred
  • Ability to work at a computer workstation for extended periods of time
  • Medical device experience required
  • Compliance with relevant county, state, and Federal rules regarding vaccinations
  • Legal authorization to work in the United States required
