About the role

Key responsibilities & impact
  • Manage daily calendars for 4–6 executives, adjusting and prioritizing schedules based on last-minute changes
  • Arrange and reserve conference rooms, catering, audio/video, and other services for meetings and conferences
  • Coordinate travel arrangements and create expense reports using Capital One systems
  • Drive team activities and events, including all-hands meetings, team meetings, conferences, supply ordering, and social events
  • Prepare professional business communication documents, including memos, letters, and emails
  • Build and maintain business relationships with executives and administrative staff across organizations
  • Participate in general administrative duties, copying, mail distribution, ad-hoc projects, committees, and group events
  • Promote a fun and team-oriented work environment
  • Serve as a liaison for senior leadership and contribute to operational efficiency

Requirements

What you’ll need
  • High School Diploma, GED or equivalent certification
  • At least 2 years of Administrative experience
  • At least 2 years of experience in Google Suite (Google Docs, Sheets, Slides, Drive)
  • Preferred: Associates Degree
  • Preferred: At least 5 years of experience as an Executive Assistant or Administrative Assistant in a fast-paced environment
  • Preferred: At least 3 years of calendar management supporting multiple executives
  • Preferred: At least 1 year of meeting and event planning experience
  • Preferred: At least 1 year of experience setting up video conference and Zoom or Skype technology for meeting user
  • Preferred: At least 1 year of experience planning ahead and managing time effectively
