About the role

Key responsibilities & impact
  • Manage daily calendars for multiple executives, adjusting and prioritizing schedules based on last-minute changes
  • Arrange and reserve conference rooms, catering, audio/video, and other meeting and conference services
  • Coordinate travel arrangements and create expense reports using Capital One systems
  • Drive team activities and events, including all-hands meetings, team meetings, conferences, supply ordering, and social events
  • Prepare professional business communications, including memos, letters, and emails
  • Build and maintain business relationships with executives and administrative staff across the organization
  • Perform general administrative duties, including copying, mail distribution, ad-hoc projects, committees, and group events
  • Promote a fun and team-oriented work environment
  • Partner with multiple executives to handle administrative tasks and support department and company goals
  • Manage complex executive schedules, disseminate information, and serve as a team ambassador and executive gatekeeper

Requirements

What you’ll need
  • High School Diploma, GED or equivalent certification
  • At least 2 years of Administrative experience
  • At least 2 years of experience in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint) or Google Suite
  • Preferred: Associates Degree
  • Preferred: At least 5+ years of experience as an Executive Assistant or Administrative Assistant in a fast-paced environment
  • Preferred: At least 3+ years of calendar management supporting multiple executives
  • Preferred: At least 1+ year of meeting and event planning experience
  • Preferred: Experience setting up video conference and Zoom/Skype technology for meeting user
  • Preferred: Experience planning ahead and managing time effectively
  • Preferred: Excellent written and verbal communications
  • Preferred: Excellent organizational skills
