About the role

Key responsibilities & impact
  • Manage daily calendars for multiple executives, adjusting and prioritizing schedules based on last-minute changes
  • Arrange and reserve conference rooms, catering, audio/video, and other services for meetings and conferences
  • Coordinate travel arrangements and create expense reports using Capital One systems
  • Drive team activities and events, including all-hands meetings, team meetings, conferences, ordering supplies, and social events
  • Prepare professional business communications, including memos, letters, and emails
  • Build and maintain business relationships with executives and administrative staff across the organization
  • Perform general administrative duties, including copying, distributing mail, ad-hoc projects, committees, and group events
  • Promote a fun and team-oriented work environment
  • Support executives with administrative tasks so they can focus on department and company goals
  • Manage complex executive schedules through prioritization and organization
  • Handle travel arrangements, expense reports, and information dissemination
  • Write and proofread communications with strong grammar and composition

Requirements

What you’ll need
  • High School Diploma, GED or equivalent certification
  • At least 2 years of Administrative experience
  • At least 2 years of experience in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint) or Google Suite
  • Associates Degree (preferred)
  • At least 5+ years of experience as an Executive Assistant or Administrative Assistant in a fast-paced environment (preferred)
  • At least 3+ years of calendar management supporting multiple executives (preferred)
  • At least 1+ year of meeting and event planning experience (preferred)
  • Experience setting up video conference and Zoom/Skype technology for meeting users (preferred)
  • Experience planning ahead and managing time effectively (preferred)
  • Excellent written and verbal communications (preferred)
  • Excellent organizational skills (preferred)
