About the role
Key responsibilities & impact- Own the onboarding process from accepted offer through Day 1
- Serve as the primary point of contact for accepted candidates and new hires
- Welcome new hires, communicate expectations and next steps, and maintain regular contact
- Identify candidates falling behind on onboarding requirements and drive timely completion
- Initiate, coordinate, and track pre-employment and onboarding activities
- Maintain accurate candidate status, documentation, completion dates, and outstanding requirements
- Monitor onboarding pipelines and deadlines to keep new hires on track for scheduled start dates
- Coordinate with Recruiting, HR, IT, Credentialing, Training, and Operations to resolve issues and remove barriers
- Escalate risks that could prevent scheduled starts
- Confirm completion of onboarding activities and coordinate orientation and training placement
- Maintain start-date and training rosters and communicate changes
- Provide Day 1 instructions, schedules, technology expectations, and other start information
- Ensure handoff from Recruiting/Onboarding to Training and Operations
- Document onboarding workflows, procedures, handoffs, responsibilities, and service expectations
- Identify bottlenecks, duplicate work, and automation opportunities
- Recommend and implement process improvements and standardized checklists, templates, and tracking mechanisms
- Monitor recurring onboarding issues and address root causes
Requirements
What you’ll need- 2+ years of experience in recruiting coordination, onboarding, HR operations, talent acquisition operations, or a similar process-driven administrative role
- Experience entering, maintaining, and tracking candidate or employee information in an ATS, HRIS, onboarding platform, or similar workflow system
- Experience managing multiple individuals through a defined process involving deadlines, required tasks, documentation, and follow-up
- Strong organizational skills and ability to manage a high-volume workload without losing attention to detail
- Strong written and verbal communication skills
- Ability to proactively follow up, drive task completion, and appropriately escalate issues
- Strong process orientation and ability to identify inefficiencies and recommend improvements
- Experience documenting processes, procedures, checklists, or standard operating procedures
- Strong computer proficiency, including Microsoft Office/365, Zoom, Greenhouse or similar programs, and ability to quickly learn new systems
- High school diploma or equivalent required; associate or bachelor's degree preferred but not required
- Must perform all work physically within the United States; international work is not permitted during scheduled work hours
- Reliable internet connectivity and a secure, private workspace
- Windows or Apple (macOS) computer only; no Chromebooks, Linux machines, or smartphones
- Windows 10 or macOS 14 Sonoma minimum
- Intel Core i5 or AMD equivalent (Windows) or Apple Silicon (Macs)
- 16 GB RAM
- Wired headphones required; no built-in microphones
- Internet speed of at least 100 Mbps download and 50 Mbps upload, with an ethernet cable connecting the computer directly to the router
- Google Chrome with Amazon Workspaces
- Webcam required for video calls
