About the role

Key responsibilities & impact
  • Coordinate communications for the Catalyst Brands Global Sourcing teams
  • Support departmental projects and initiatives under the direction of the Business Support Specialist
  • Design and develop presentations, reports, meeting materials, newsletters, and communications
  • Manage department supply budgets in partnership with the Business Support Specialist
  • Manage calendars, schedule meetings, maintain files, and coordinate team events
  • Maintain knowledge of team processes, resources, systems, and tools for internal partners
  • Manage expense report submissions and documentation in compliance with Corporate Travel Policy requirements
  • Book domestic and international travel and process travel and non-travel expenses
  • Prepare and update reports, databases, records, and files using appropriate software systems
  • Coordinate office supply ordering and inventory management
  • Support onboarding activities, including technology requests, workspace setup, seating arrangements, training, building tours, materials, and SharePoint navigation
  • Coordinate Facilities and Building Operations requests, including furniture, office moves, storage, cleaning, access, donations, and bulk trash removal
  • Send team-wide communications, announcements, and organizational updates
  • Schedule and manage Catalyst Brands Sourcing milestone meetings and maintain milestone calendars
  • Assist Executive Assistants with Merchandising and Design milestone meetings
  • Support meeting preparation, room setup, virtual meeting technology, and technical coordination
  • Set up and support meeting carts, cameras, microphones, and conferencing equipment
  • Troubleshoot meeting technology and coordinate with IT
  • Train new team members on meeting technology and collaboration tools
  • Coordinate sample delivery, pickup, organization, transfers, and tracking
  • Process sample-related expenses according to company procedures
  • Participate in weekly priority and workload meetings with the Business Support Specialist
  • Support monthly department meetings and team events
  • Coordinate recognition programs, newsletters, team-building events, and employee engagement activities
  • Support continuous improvement through process development and operational enhancements

Requirements

What you’ll need
  • Associate degree preferred; equivalent work experience may be considered
  • Bachelor's degree in Business Administration, Fashion Merchandising, Retail Management, Supply Chain, Product Development, or a related field preferred
  • Two or more years of administrative, business support, sourcing, merchandising, retail, product development, or project coordination experience preferred
  • Experience supporting multiple teams and managing competing priorities
  • Experience with meeting management, travel coordination, expense reporting, and operational support
  • Experience with Product Lifecycle Management (PLM) systems, including Flex PLM, preferred
  • Strong organizational and time-management skills
  • Excellent written and verbal communication skills
  • Strong attention to detail and follow-through
  • Ability to manage multiple priorities in a fast-paced environment
  • Proficiency in Microsoft Office Suite, including Outlook, Excel, PowerPoint, Word, Teams, and SharePoint
  • Strong interpersonal and relationship-building skills
  • Ability to exercise sound judgment and maintain confidentiality
  • Strong problem-solving and critical-thinking skills
  • Customer-service mindset and proactive approach to supporting business partners
