About the role

Key responsibilities & impact
  • Answer HR and operational questions from 100+ clinicians and staff about PTO, payroll, and benefits
  • Escalate complex payroll and benefits issues to specialist teams and follow up through resolution
  • Present updates to groups of 30–40 clinicians in virtual meetings
  • Assist clinicians with scheduling logistics and administrative questions
  • Coordinate clinician onboarding across multiple US states with different licensing and credentialing requirements
  • Build and maintain state-specific onboarding SOPs and checklists
  • Train new hires on internal systems, the EHR platform, and collaboration tools during their first 30 days
  • Manage offboarding steps and records for departing clinicians
  • Track state-mandated compliance steps such as fingerprinting and live scans
  • Support credentialing clinicians with insurance payers state by state
  • Maintain records according to HIPAA data handling rules and state mental health regulations
  • Conduct second-round interviews for senior operations and leadership roles
  • Explain internal workflows, tools, and team structure to senior candidates
  • Maintain knowledge of the internal CRM system and new EHR platform
  • Collaborate daily with credentialing, revenue cycle, legal, and client coordinator teams

Requirements

What you’ll need
  • 5+ years of professional experience, with recent roles in HR coordination, people operations, or employee support
  • Working knowledge of US payroll, PTO, and benefits structures, including handling and escalating employee questions
  • Hands-on use of at least one CRM or project management platform: HubSpot, Zoho, Salesforce, Monday.com, or BambooHR
  • Experience coordinating employee onboarding and offboarding, including document and compliance tracking
  • Experience presenting updates or running training sessions for groups of 30+ people
  • English at C1+ CEFR level
  • Stable internet with a backup connection or backup work location
  • Experience in mental health, therapy, or medical practice operations preferred
  • Experience with an EHR or practice management platform such as SimplePractice or TherapyNotes preferred
  • Exposure to HIPAA, insurance payer credentialing, or state licensing requirements preferred
  • Experience onboarding employees across multiple states, countries, or locations preferred
  • Experience with a US HRIS such as Gusto or Rippling preferred
