About the role
Key responsibilities & impact- Coordinate administrative support activities and resources for staff, visitors, offices, and guest house facilities
- Support implementation of administrative systems, processes, and procedures in line with CRS standards, donor requirements, local regulations, and internal controls
- Coordinate travel and logistics support, including documentation, hotel bookings, airport transfers, local transportation, and service-provider follow-up
- Liaise with service providers, vendors, landlords, clearing agents, and government offices
- Prepare, review, and maintain records, reports, trackers, and documentation for assets, inventory, facilities, contracts, leases, travel, and logistics
- Recommend improvements to administrative procedures, documentation, tracking tools, and service delivery
- Lead procurement of goods and services for emergency response activities
- Coordinate logistics for staff, visitors, events, delegation visits, workshops, and training activities, including translation services and communication tools
- Coordinate with program and supply chain personnel to resolve issues and reconcile inventory with accounting records
- Collaborate with HRD Operations and technical advisors on knowledge-management resources, best practices, tools, procedures, and document translation
- Support coordinated partner-strengthening efforts and resolve partnership challenges
- Work without supervisory responsibilities
Requirements
What you’ll need- Associate degree in administration/management, Logistics and Procurement, or Accounting from an accredited college or university
- Minimum of 5 years of progressive experience in administrative support, office administration, logistics, procurement, asset management, inventory management, or related operational support functions
- Strong organizational and planning skills
- Excellent communication skills with fluency in English
- Excellent skills in communications, networking, negotiating and interpersonal relations
- Results oriented and able to work with minimum supervision
- Proven level of integrity and honesty
- Computer literate in Microsoft Office
- English and Spanish required
- French and Portuguese desirable
- Ability to legally work where the position is performed
- Pre-employment medical clearance for positions requiring residence or frequent travel outside a home country
- Must sign and adhere to CRS' Code of Conduct
