About the role
Key responsibilities & impact- Manage the executive’s calendar and scheduling for internal and external meetings
- Plan all aspects of executive travel
- Coordinate and lead preparation for Senior Leadership meetings, including locations, travel, accommodations, catering, and equipment/supplies
- Collate briefing documents and draft, prepare, and proofread letters, memos, reports, spreadsheets, charts, and presentations
- Process expense reports, requisitions, and new hire needs
- Assist with special projects, research, and personnel or organizational development initiatives
- Interact with internal and external stakeholders and develop collaborative relationships across CDW
- Arrange department gatherings, including location, setup, food, and activities
- Create professional PowerPoint presentations
- Enter invoices and create purchase orders for timely vendor payment
- Field, follow up on, and resolve incoming phone calls
- Maintain department lists and department and senior-level organizational charts
- Handle department time-clock issues
Requirements
What you’ll need- Bachelor’s degree and 5+ years experience coordinating projects or supporting at an executive-level OR 9+ years experience coordinating projects or supporting at an executive-level
- Experience maintaining confidentiality with private and sensitive information
- Proficiency in Microsoft Office applications, including Word, Excel, and PowerPoint
- Strong organizational and time management skills
- Strong interpersonal skills and ability to work effectively with individuals at all levels
- Excellent verbal and written communication skills
- Ability to take initiative and work independently with little direction
- Ability to balance multiple priorities and adapt to changing business needs while meeting deadlines
- Flexibility to work nights and/or weekends when needed
- Experience in event planning, meeting coordination, and partner and vendor relations
- Ability to influence others without authority
- Negotiation and persuasion skills
- Critical attention to detail
- Knowledge of the business, organization, and solutions that are the backbone of the organization
- Ability to manage expense reports and travel requests while managing timelines
- Track record of supporting project team members and internal stakeholders, locally and virtually
- Ability to resolve conflict with appropriate escalation
