About the role

Key responsibilities & impact
  • Assist with planning and execution of signature fundraising, donor stewardship, and corporate events
  • Coordinate vendors, venues, production requirements, workback schedules, and timelines
  • Collaborate with production, leadership, and internal teams to deliver events
  • Oversee day-of event operations and monitor event execution for a high-quality guest experience
  • Respond to donor inquiries and provide event-related customer service
  • Coordinate invitations, ticketing, RSVPs, and guest lists
  • Support event communications, invitations, signage, and digital materials
  • Track event expenses and revenue
  • Support donor correspondence, acknowledgments, and invoices
  • Assist corporate development outreach, prospect cultivation, pitching, and follow-up
  • Prepare corporate partnership agreements, invoices, onboarding materials, and stewardship materials
  • Support CRM moves management and coordinate partner recognition and benefits
  • Assist with event and board committee coordination, meetings, minutes, and action items
  • Conduct prospect research for sponsorships and in-kind donations
  • Maintain event data and reporting using Tessitura CRM, ArtsVision, and event calendars
  • Staff the Welcome Desk, Henry N. R. Jackman Lounge, and/or Membership Desk during performances

Requirements

What you’ll need
  • Bachelor’s Degree (preferred) and previous experience in customer service, development, and fundraising an asset
  • 2–3 years of experience in an event coordinator role or equivalent experience
  • Demonstrated ability to multitask with high attention to detail
  • Ability to handle priorities effectively and professionally in a fast-paced environment
  • Excellent oral and written communication and customer service skills
  • Strong interpersonal skills and ability to work across multiple teams
  • Strong analytical skills, creative thinking, and problem-solving ability
  • Strong work ethic, initiative, and goal orientation
  • Ability to work independently and collaboratively
  • Proficiency in Office Suite, including mail merges, spreadsheets, and database/information management
  • Experience with Tessitura or another CRM is an asset
  • Ability to maintain confidentiality
  • Able to work evenings and weekends throughout the year as required
