About the role

Key responsibilities & impact
  • Own planning and execution of high-touch experiences involving executives, employees, customers, and partners
  • Partner with event leadership to shape vision and direction for assigned experiences
  • Coordinate executive participation with executives and Executive Assistants
  • Communicate event vision, expectations, schedules, briefing information, presentation needs, and onsite logistics
  • Manage event logistics including timelines, venues, attendee communications, registration, transportation, food and beverage, event materials, hospitality, and onsite requirements
  • Source venues, select and coordinate vendors, negotiate contracts, manage procurement, and manage budgets
  • Develop project plans, timelines, checklists, run-of-show documentation, and readiness materials
  • Anticipate needs and proactively resolve operational issues
  • Partner with Marketing, Sales, Customer Experience, Executive Leadership, and other teams
  • Communicate progress, risks, decisions, dependencies, and strategic guidance needs
  • Gather and evaluate stakeholder and attendee feedback and recommend improvements
  • Own onsite execution, including setup, executive and VIP coordination, vendor management, attendee experience, problem solving, and teardown

Requirements

What you’ll need
  • 2+ years of experience in executive support, executive operations, project or program coordination, event coordination, hospitality, or a related role
  • Experience working directly with executives, senior leaders, or Executive Assistants in a professional environment
  • Clear, concise, and polished written and verbal communication skills
  • Strong professional presence, judgment, and discretion
  • Exceptional organizational and project coordination skills
  • Experience independently coordinating vendors, venues, contracts, budgets, procurement, travel, or other complex operational logistics
  • Ability to independently execute defined programs and workstreams
  • Proactive mindset with ability to anticipate needs and identify potential issues
  • Ability to develop execution plans and carry work forward with limited day-to-day oversight
  • Ability to evaluate processes and programs and identify improvements
  • Strong interpersonal and problem-solving skills
