About the role
Key responsibilities & impact- Provide administrative support and office management for one or more Chief Officers
- Manage calendars, appointments, expense reports, correspondence, travel plans, itineraries, agendas, and travel meeting documents
- Anticipate needs and provide overall administrative support for assigned executives
- Serve as backup for the receptionist/reception area
- Manage records, manuals, databases, and files
- Compose and distribute correspondence, announcements, memoranda, spreadsheets, and related materials
- Maintain strict confidentiality of Company information and operational documents
- Facilitate smooth communication between assigned executives and internal departments
- Process invoices, purchase orders, and expense reports as needed
- Maintain department budget and expense files
- Provide coverage in the administrative suite as directed
- Prepare executive-level committee meetings and strategic planning sessions
- Record meeting minutes
- Perform other duties as assigned
- Represent the Company professionally and provide quality services to clients
- Comply with applicable regulations, Company policies, procedures, and standard practices
- Observe health, safety, and security practices
- Maintain confidentiality of patients, families, colleagues, and sensitive situations
- Use resources responsibly and participate in organizational, departmental, individual, quality improvement, research, educational, and professional development activities
Requirements
What you’ll need- High school diploma or GED required; a college degree preferred or an equivalent combination of education and experience
- Minimum of three (3) years’ experience in an administrative support and office management capacity to a senior executive
- Superior written and verbal communication skills with the ability to interact professionally with internal and external customers
- Advanced skill in Microsoft Office software (Word, Excel, PowerPoint, Outlook)
- Highly organized with the ability to successfully manage multiple priorities simultaneously, effectively and efficiently while maintaining confidentiality
- Ability to work with minimal oversight
- Ability to anticipate needs and demonstrate initiative when appropriate
- Able to perform with a high degree of accuracy while meeting deadlines
- Ability to remain calm and professional in stressful situations and to maintain stability of performance under pressure and/or opposition
- Satisfactorily complete competency requirements for the position
- Consent to drug and/or alcohol testing after a conditional offer of employment
- Ongoing compliance with the Drug-Free Workplace Policy
- Eligibility verification through the Florida Care Provider Background Screening Clearinghouse after a conditional offer and ongoing eligibility
