About the role

Key responsibilities & impact
  • Provide high-level, comprehensive support to the Chief Executive Officer
  • Provide administrative partnership to the Chief Financial Officer and Chief Development Officer
  • Manage executive access and communications, filtering urgent matters and interruptions
  • Handle sensitive financial, strategic, legal, and contractual information confidentially
  • Assist the CEO and CFO with fiduciary responsibilities and obtain sensitive signatures
  • Coordinate and de-conflict the daily itineraries of three C-suite executives
  • Prepare background briefings for internal and external meetings
  • Lead preparation for Leadership Team meetings and Board sessions
  • Draft agendas, capture confidential minutes, and track executive action items
  • Arrange executive travel, accommodations, schedules, and expense reporting
  • Assist with Executive Office budget oversight and manage expense reports and procurement
  • Partner with the Neighborly Department on Town Hall meetings, celebrations, and office initiatives
  • Provide administrative support for the Christian Brothers Automotive Foundation
  • Act as a cross-functional utility resource across the Support Center
  • Provide physical and logistical support for events, meetings, and gatherings, including setup and teardown
  • Order, organize, and deliver meals and provide immediate administrative and physical support
  • Foster a welcoming, helpful, and community-minded environment

Requirements

What you’ll need
  • Prior experience supporting multiple C-level executives (specifically CEO/CFO/CDO) in a fast-paced environment
  • Flexible, service-oriented mindset eager to jump into various support roles within the Neighborly Department, including hands-on physical event support and meal logistics
  • Proven history of handling highly confidential financial and strategic information with absolute discretion
  • Ability to juggle competing priorities between executive management and dynamic Support Center utility tasks while maintaining a calm, welcoming presence
  • Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel)
  • Proficiency in QuickBooks or comparable accounting software
  • Exceptional written and oral communication
  • Ability to represent the Executive Team’s voice with professionalism and humility
  • Ability to occasionally bend, twist, and turn
  • Ability to sit for extended periods of time
  • Ability to lift and/or move up to 50 pounds
  • Must be authorized to work in the U.S. through employment eligibility verification
