About the role

Key responsibilities & impact
  • Manage and prioritize the VP’s calendar, meetings, and attendees
  • Coordinate VP speaking engagements with the communications team
  • Plan and organize meetings, including agendas, locations, meeting technology, logistics, briefing documents, notes, and action items
  • Prepare travel packs for international trips and major domestic events
  • Act as proxy for communications and approvals when authorized
  • Answer questions, refer routine matters, follow up on completion, and resolve issues within policies
  • Mentor administrative community members on problem solving
  • Determine when executive action is required and provide recommendations
  • Make detailed global travel arrangements and optimize itineraries
  • Manage Cisco travel expenses and coordinate airline upgrades through Global Services benefits
  • Plan and execute team celebrations, all-hands meetings, and culture-building activities
  • Build relationships with staff and stakeholders and advise the VP on culture opportunities
  • Provide analytical support for executive special projects
  • Research issues, analyze problems, compile data, and prepare reports
  • Prepare and brief itineraries and accompany the VP at large corporate events such as GSX
  • Handle sensitive and confidential matters professionally

Requirements

What you’ll need
  • 4+ years’ experience in an administrative environment
  • Minimum 2 years of experience supporting a principal at director level or above
  • Expert-level knowledge of Windows desktop applications: Outlook, Word, Excel, and PowerPoint
  • Experience in calendar management, meeting planning, and travel coordination
  • Excellent verbal and written communication skills
  • Ability to connect with executive/senior staff and clients at all levels
  • Experience providing support at the VP level
  • Strong interpersonal skills and independent judgment
  • Utmost integrity and ability to balance strategic and tactical actions
  • Outstanding attention to detail
  • Ability to handle confidential information
  • Preferred: past high-tech industry experience, specifically in a product organization
  • Preferred: prior Cisco experience
  • Associates degree (preferred)
