About the role

Key responsibilities & impact
  • Support the CEO and Chief Business Officer directly
  • Own both executive calendars and coordinate internal and external scheduling
  • Serve as the scheduling and communications contact for investors, partners, advisors, and candidates
  • Coordinate domestic and international travel end-to-end
  • Prepare agendas, pre-reads, and meeting materials; track and close action items
  • Manage executive expense reporting
  • Triage inbound requests and protect founder time
  • Coordinate board meetings, investor updates, and leadership offsites
  • Run day-to-day San Francisco office operations
  • Own vendor relationships and contracts for building management, cleaning, catering, IT, and supplies
  • Manage office supplies, equipment, kitchen inventory, budgets, and workstation setup
  • Handle facilities issues, building management, mail, shipping, access, seating, and safety
  • Coordinate recruiting logistics, interviews, full-day onsites, interviewer panels, reschedules, candidate communications, and ATS records
  • Own and maintain the company-wide onboarding playbook
  • Produce the monthly headcount report for employees, contractors, and interns
  • Support onboarding documentation and HR administration
  • Plan and execute team events, all-hands logistics, offsites, and celebrations
  • Handle ad hoc business operations including procurement, contract tracking, process documentation, internal tooling, research, and analysis
  • Report to the CEO and work day-to-day with both co-founders

Requirements

What you’ll need
  • 4+ years of experience in executive support, office management, operations, or a comparable role
  • At least 2 years directly supporting C-level executives or founders
  • Experience owning complex calendars, travel, and external scheduling across multiple time zones and stakeholder types
  • Experience coordinating recruiting logistics, including interview scheduling, panel management, and candidate communication
  • Experience running an office or facilities function, including vendor management, budgets, inventory, IT, and equipment coordination
  • Exceptional written and verbal communication
  • Proven discretion handling confidential compensation, personnel, and business information
  • Fluency with Google Workspace, Slack, Notion, an ATS, expense and travel tools, and ability to learn new software quickly
  • Based in the San Francisco Bay Area
  • Able to work in the office 3 days a week (Tuesday/Wednesday/Thursday)
  • Preferred: Experience at a venture-backed startup between Seed and Series B
  • Preferred: Exposure to HR administration or people operations
  • Preferred: Experience supporting board meetings, investor relations, or fundraising logistics
  • Preferred: Experience planning offsites and team events for distributed teams
  • Preferred: Comfort with light data work and building trackers, headcount reports, or simple dashboards
  • Interest in healthcare, life sciences, or mission-driven companies; rare disease familiarity is a plus but not required
