About the role
Key responsibilities & impact- Provide confidential administrative support to the Director, Revenue Services
- Coordinate administrative activities within the division and follow up on outstanding issues
- Manage multiple activities, deadlines, and established procedures with minimal supervision
- Participate in acquiring office space, supplies, equipment, and telephone services
- Guide support staff and participate in recruitment of junior staff
- Manage routine administrative details for the Director’s Office
- Respond to inquiries and process confidential business and administrative matters
- Prepare, compose, proofread, and draft correspondence and reports
- Take and transcribe minutes for weekly meetings
- Format and process Council reports and coordinate final submissions with the General Manager’s office
- Schedule appointments, arrange meetings, book facilities, organize presentation equipment, documentation, and catering
- Liaise with officials, boards, government agencies, outside organizations, internal staff, and the public
- Process and review cheque requisitions and expense claims
- Monitor supply requisitions, account payments, and printer troubleshooting/service calls
- Maintain attendance, vacation, and overtime records
- Prepare Human Resources paperwork for hires and transfers
- Coordinate travel, conference, and course arrangements
- Develop and maintain confidential information filing systems
- Participate in selecting office equipment
- Disseminate and collect information for the Director’s Office
- Interview, test, and hire junior staff and placement students
- Perform other assigned duties
Requirements
What you’ll need- Graduate from an Office Administration Program or approved equivalent education and experience
- Five years of experience at a senior secretarial level
- Excellent skills in coordinating and compiling data requested from the Office of the Director
- High level of accuracy and speed in preparation of written communication
- Experience in preparation of reports
- Proficient in Business English, modern office practices and procedures
- Experience in a computerized environment
- Working knowledge of Microsoft Word, Excel, Outlook, PowerPoint, and Visio
- Experience with PeopleSoft HR and Financials
- Ability to relate readily to the public and outside agencies
- Initiative and ability to carry out instructions without detailed direction
- Maturity, initiative, good judgment, and ability to mentor junior staff
- Ability to coordinate, assign, and review work of junior staff and resolve work-related problems
- Ability to work independently on complex projects and coordinate activities with other parts of the organization
- Flexibility to work extended hours when necessary
- Knowledge of general accounting principles, including monitoring accounts, maintaining routine financial records, calculating, preparing, and processing invoices and accounts payable, would be an asset
- Experience in a related environment would be an asset
- Certificate in Business, Finance, or Accounting would be an asset
