About the role

Key responsibilities & impact
  • Provide project and administrative support to CIVICUS' Strategic Initiatives workstream
  • Support funder engagement, grant management, resource mobilisation and cross-cutting organisational initiatives
  • Draft, edit and proofread funder correspondence, briefing notes, concept notes, talking points and other written materials
  • Support development of concept notes and proposals for funding diversification efforts
  • Prepare meeting summaries, minutes and follow-up notes
  • Maintain knowledge resources and filing systems such as Knowledge Hub/SharePoint
  • Maintain funder contact records and CRM databases
  • Coordinate with fundraising consultants by scheduling calls, tracking actions and consolidating outreach records
  • Assist with funder meetings, forums and events, including logistics, briefing preparation and note-taking
  • Research good funding practices and ecosystem-strengthening approaches
  • Track quarterly funder updates and scheduled communications
  • Maintain the Grants Management Profile and Smartsheet dashboard
  • Coordinate grant reporting calls and track action points and outstanding items
  • Quality-check narrative and financial reports for clarity, consistency and funder compliance
  • Document grant agreements, restrictions and compliance requirements
  • Support annual planning, budgeting, learning activities and cross-organisational convenings
  • Coordinate Norad-funded and other cross-organisational grant activities
  • Support organisational strategy reviews, project close-outs, knowledge management and learning initiatives

Requirements

What you’ll need
  • Minimum Bachelor's degree in social sciences, international relations, gender studies, sociology, political science, or a related field (or equivalent professional experience)
  • Minimum 5 years' relevant work experience, ideally within a civil society organisation, international development or similar setting
  • Excellent written and spoken English
  • Exceptional writing, editing and proofreading skills
  • Ability to write clearly, concisely and persuasively for varied audiences, including funders, policymakers and internal teams
  • Strong organisational skills and ability to manage multiple tasks and deadlines with close attention to detail
  • Good research and analytical skills, with ability to synthesise information from a range of sources
  • Commitment to human rights and social justice principles
  • Experience working remotely and collaboratively within a globally distributed team
  • Proficiency in Microsoft Office and project management applications
  • Right to work in the location where based
  • Experience supporting funder or grant reporting processes (desirable)
  • Knowledge of civil society and civic space issues (desirable)
  • Knowledge of one or more UN languages other than English (desirable)
