About the role
Key responsibilities & impact- Provide high-level administrative and operational support to three members of the Executive Leadership Team
- Ensure efficient day-to-day operation of the Raleigh office
- Manage complex executive calendars and prioritize meetings across time zones
- Coordinate domestic and international travel, including visas, flights, and hotel accommodations
- Coordinate meetings, conference room preparation, scheduling, and reset
- Manage executive communications and act as a trusted partner to senior leaders
- Manage office supplies, repairs, vendor relationships, physical access, badges, and visitor logs
- Coordinate new-hire welcomes, identity verification, office tours, introductions, and onboarding logistics
- Review and optimize office policies and procedures
- Coordinate with property management and IT as needed
- Collect and process postal mail
- Purchase onsite snacks, beverages, and kitchen supplies; run and empty dishwasher
- Plan meals and coordinate catering
- Reconcile and submit executive expense reports
- Prepare and submit purchase requisitions and monthly expense reconciliation for corporate AMEX charges
- Use AI to convert meeting notes into action items and ensure follow-up
- Use AI for continuous improvement in administrative processes
- Organize executive department events
- Support employee experience, visitor management, and site operations
- Perform other duties and responsibilities as assigned
Requirements
What you’ll need- 3–5 years of experience in Executive Assistant or senior administrative support roles
- Experience supporting multiple senior leaders, preferably Executive Leadership Team members
- Advanced ("Pro") proficiency in Microsoft Office and Microsoft 365
- Experience using AI tools such as Microsoft Copilot to enhance productivity and workflow efficiency
- Experience coordinating office operations, facilities, visitors, and employee events
- Knowledge of executive administration, calendar management, travel coordination, and meeting logistics
- Knowledge of office operations, vendor management, and workplace services
- Knowledge of confidentiality, records management, and business communication best practices
- Exceptional organization, prioritization, and attention to detail
- Strong written and verbal communication skills
- Executive-level stakeholder management and relationship building
- Problem-solving, planning, and multitasking in a fast-paced environment
- Effective use of AI tools, including Microsoft Copilot
- Ability to support multiple senior executives while managing competing priorities
- Ability to anticipate needs and proactively resolve issues
- Ability to exercise sound judgment and maintain strict confidentiality
- Ability to coordinate activities across teams, functions, and external partners
- Ability to adapt quickly to changing business priorities and deadlines
- Ability to drive continuous improvement in administrative and office processes
- Required physical presence in the Raleigh office three days per week
- Required attendance/travel to the Raleigh, NC office on the first day of employment
- Moderate lifting/carrying of 15–44 lbs.; walking/standing 2–6 hours
- May be required to follow customer location health and safety requirements
