About the role

Key responsibilities & impact
  • Review pre-bills for compliance with client guidelines, rates, and cost exceptions.
  • Generate and distribute monthly pre-bills.
  • Participate in meetings with partners to review unbilled and accounts-receivable inventory.
  • Process narrative edits and time and cost adjustments.
  • Compile receipts and documentation for third-party expenses billed to clients.
  • Prepare client statements, timekeeper summaries, and cover sheets.
  • Upload LEDES invoices through e-billing hubs and websites.
  • Address inquiries regarding billed and unbilled totals, payment status, and matter history.
  • Prioritize timely invoice distribution, mailing, and e-billing.
  • Input fee and cost estimates on client e-billing sites.
  • Maintain billing files and retrieve backup documentation.
  • Participate in collections activities and escalate deductions or collections issues.
  • Communicate with clients, attorneys, and staff by telephone, email, and in person.
  • Assist attorneys, clients, secretaries, and collections staff with billing collections.
  • Work on special billing projects, analysis, and implementation of billing requests.
  • Generate reports as needed.
  • Observe confidentiality in all Firm and client matters.
  • Perform other duties as they arise.

Requirements

What you’ll need
  • 2-5 years of experience in a billing role, preferably at a law firm.
  • Service oriented and self-motivated.
  • Capable of exceeding expectations of internal and external constituents.
  • Experience with Elite 3E software preferred.
  • Demonstrated understanding of complex billing and/or e-billing systems and processes with multiple workflows is desirable.
  • Advanced proficiency with Microsoft Excel and Microsoft Office Suite.
  • Excellent written and verbal communication and interpersonal skills.
  • Ability to establish and maintain relationships with partners, attorneys, finance staff, clients, brokers, and other third-party vendors.
  • High school diploma required.
