About the role
Key responsibilities & impact- Support a team of lawyers and/or partners practicing commercial insurance coverage and civil litigation.
- Manage lawyers' calendars, including appointments, court appearances, and litigation deadlines.
- Follow up with lawyers to ensure deadlines are met.
- Prepare standard litigation proceedings, first drafts of pleadings, orders, and other court documents.
- Compile motion records and briefs.
- Transcribe letters and dictated proceedings.
- Type and edit correspondence and documents.
- Review documents and correspondence for legal procedure compliance and grammatical accuracy.
- Open, close, file, track, and organize case files in paper and electronic formats.
- Prepare client files and supporting documents.
- Manage phone calls, email, and other correspondence.
- Organize and coordinate meetings between lawyers and clients.
- Assist with scheduling examinations for discovery.
- Handle certain invoicing procedures.
- Organize business travel and arrange meetings for lawyers as needed.
- Provide support to office staff and other departments.
- Enter billing and time-entry data into multiple systems.
- Support conflict-of-interest searches.
- Perform other general administrative tasks as required by the firm.
Requirements
What you’ll need- Legal Assistant Diploma/Certificate from a Community College or the equivalent.
- Minimum of five (5) to ten (10) years of relevant experience as a Legal Assistant, ideally in commercial insurance coverage and civil litigation.
- Impeccable English grammar with excellent verbal/written communication and proofreading skills.
- Knowledge of the Ontario Rules of Civil Procedure.
- Ability to file court documents on the Ontario portal.
- Intermediate or advanced knowledge of Microsoft Word, Outlook & Office Suite, and other systems used in a law firm.
- Working knowledge of Caselines.
- Ability to handle dictations efficiently.
- Ability to handle and prioritize workload under pressure of tight deadlines in a fast-paced environment.
- Attention to detail and proactive case management.
- Excellent multi-tasking and problem-solving abilities.
- Professional manner with lawyers, clients and other team members at all levels.
- Team spirit, strong collaboration, and positive, “can-do” attitude.
