About the role

Key responsibilities & impact
  • Deliver administrative, operational and client service support to fee earners and legal teams
  • Manage legal support activities and coordinate workflows
  • Act as a point of contact for client and matter-related queries
  • Coordinate legal document production and review completed work for accuracy, formatting and consistency
  • Manage client communications, calls, emails, correspondence and messages
  • Maintain client, contact, business development, matter and financial information in firm systems
  • Manage diaries, meetings, travel arrangements and logistics
  • Prepare agendas, meeting materials, presentations, reports, spreadsheets, trackers and management information
  • Support matter opening and closing, client onboarding, engagement documentation, business development activities, pitches, tenders and client events
  • Monitor key dates, deadlines and compliance requirements
  • Coordinate printing, scanning, document collation and courier arrangements
  • Manage incoming emails, correspondence and post, escalating matters as needed
  • Draft routine correspondence on behalf of fee earners
  • Attend meetings, take minutes and track actions to completion
  • Support team resourcing and provide absence cover
  • Assist with billing, time recording, disbursements, WIP management, expenses, payment requests, banking transactions and other matter-related financial administration
  • Create, update and manage electronic data rooms and document repositories
  • Undertake legal and regulatory searches and complete online submissions
  • Ensure compliance with firm policies, procedures and regulatory obligations
  • Manage workload, prioritise competing deadlines and escalate issues where necessary

Requirements

What you’ll need
  • Previous experience within a legal or professional services environment
  • Strong client service focus with excellent interpersonal and communication skills
  • Ability to manage multiple priorities and deadlines in a fast-paced environment
  • Excellent organisational skills and attention to detail
  • Ability to work independently, use initiative and take ownership of tasks
  • Strong problem-solving skills and a proactive approach
  • Professional, adaptable and collaborative approach to teamwork
  • High level of discretion and commitment to confidentiality
  • Experience using document management and case management systems
  • Advanced Microsoft Office skills, particularly Outlook, Word, Excel and PowerPoint
  • Strong document production and formatting capability
  • Experience maintaining data integrity across multiple systems
