About the role

Key responsibilities & impact
  • Manage Lease Administration functions and implementations for midsized to large, complex accounts and/or global account management structures
  • Serve as the main point of contact for clients and internal stakeholders regarding global lease administration matters
  • Understand client business objectives, real estate portfolio strategy, and service expectations
  • Maintain client agreement details, including scope, fees, billing frequency, and payee information, in WorkTrac
  • Conduct client meetings and reviews presenting portfolio updates, key metrics, and performance reports
  • Develop and maintain client governance programs, reporting cadence, communication methods, and business reviews
  • Track and communicate expirations, option exercise dates, and other critical information
  • Identify account risks, formulate mitigation strategies, and project-manage solutions
  • Oversee global team service delivery according to client processes and contracts
  • Participate in new-business presentations and pitches
  • Establish weekly calls and internal communication cadence with global lease administration account teams
  • Prepare and lead impactful communications with professional presence
  • Oversee lease abstraction and input of rental obligations and other lease information
  • Provide final quality control for abstraction processes
  • Use Colliers360, dashboards, WorkTrac, and related systems
  • Confirm and approve monthly client billing and pass-through expenses
  • Review recovery clauses, set up recovery pools, calculate tenant recovery expenses, and review caps, base years, and exclusions
  • Prepare monthly rental payment schedules
  • Track accounts receivable and escalate issues
  • Reconcile outstanding balances and resolve disputes with landlords and clients
  • Monitor, review, and approve Rent, CAM, Operating Expense, Tax, and Insurance payments to landlords
  • Review leases for charge accuracy
  • Validate Consumer Price Index adjustments
  • Maintain file systems and database data integrity for tenant and lease information

Requirements

What you’ll need
  • 5+ years of relevant experience in commercial real estate lease administration and/or accounting and property management fields, in the Landlord or Tenant sector
  • Associate or bachelor’s degree in business, accounting, real estate, or a similar field preferred
  • Experience with commercial real estate database applications such as Visual Lease, APEX, ProLease, CoStar, WorkTrac, Lucernex, Planon, Manhattan, or other portfolio management database systems
  • Documented success working on multi-line global accounts with 1,000+ leases and global account management structure
  • Intermediate proficiency with Microsoft Office tools, including Word, PowerPoint, Excel, and OneNote
  • Thorough knowledge of FASB / IFRS accounting rules and general accounting principles preferred
  • Successful track record of working independently, preferably remotely
  • Strong time management skills
  • General understanding of AI technology and openness to adapting to technological evolution
  • Must be currently authorized to work in the United States on a full-time basis
