About the role

Key responsibilities & impact
  • Book domestic and international group air reservations supporting various group movements
  • Work closely with event planners and sponsors to provide air services
  • Maintain and communicate travel-related information
  • Meet contractual airline obligations on a program-by-program basis
  • Monitor block space deadlines, ticketing codes, and other airline requirements
  • Manage office routines and keep management informed of registration backlogs or service issues
  • Process air travel requests and emails according to service standards
  • Work with client registration systems
  • Return calls and messages promptly and keep customers informed of developments and changes
  • Obtain ticketing and budget approvals according to program guidelines
  • Perform ticketing and exchange processes accurately with appropriate accounting data
  • Work and maintain queues daily
  • Finalize refunds and close programs promptly
  • Participate in operational conference calls and prepare Program Guidelines for the team
  • Ensure optimum customer service through effective phone-system use and positive telephone service techniques
  • Meet or exceed customer-service, telephone, quality, and productivity targets by providing value-added solutions and recommendations
  • Maintain knowledge of preferred vendor programs and leverage company-vendor relationships
  • Use airline terminology, codes, fare basis, airline rules and tariffs, resource guides, books, and industry contacts correctly
  • Mentor new or less experienced Travel Advisors
  • Work collaboratively with employees, clients, suppliers, and vendors
  • Perform other duties inherent to the position

Requirements

What you’ll need
  • Minimum of ten (10) years corporate travel experience
  • Meeting/incentive/event experience is a plus
  • Knowledge of word processing, spreadsheets, presentation, and email software
  • Proficiency in Microsoft Office Suite
  • Knowledge of Sabre reservation system
  • Experience with the Amadeus GDS is strongly preferred
  • Thorough knowledge of travel agency operations
  • Ability to work nights and weekends as needed
  • Effective organizational and time management skills and follow-through on goals, plans, and projects
  • Excellent problem-solving skills
  • Ability to demonstrate adaptability and flexibility
  • Demonstrated personal and organizational integrity
  • Ability to work independently exercising discretion and judgment
  • Good written and oral communication skills, including public speaking and presentations
  • Ability to work independently as well as part of a team
