About the role

Key responsibilities & impact
  • Handle inbound and outbound customer and sales inquiries via phone, email, and chat
  • Provide timely, accurate, and friendly support to resolve issues or concerns
  • Assist with product inquiries, order status, and product returns or exchanges
  • Maintain customer satisfaction through professional communication and follow-ups
  • Manage and prioritize multiple documentation requests and ensure timely delivery
  • Contribute to best practices for creating and managing documentation
  • Seek opportunities to improve processes
  • Track and update sales orders to ensure accurate processing and delivery
  • Coordinate with inventory and shipping departments to process and deliver orders on time
  • Maintain customer records and update the CRM database
  • Assist in generating sales and customer activity reports
  • Collaborate with marketing, operations, sales, and customer service teams
  • Provide feedback to improve processes and customer experience
  • Create, manage, and deliver quotes
  • Process orders
  • Ensure documents are consistent, professional, client-tailored, and aligned with company standards and best practices

Requirements

What you’ll need
  • High school diploma or equivalent
  • Bachelor’s degree is a plus
  • Proven experience in customer service, sales support, or a related field
  • Positive attitude, team-oriented, and problem-solving mindset
  • Ability to remain calm and professional under pressure
  • Ability to work independently and as part of a team
  • Strong writing, editing, and proofreading skills
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Experience with document management systems
  • Ability to understand technical concepts and communicate them clearly in a business context
  • Detail-oriented with the ability to multitask and manage deadlines
  • Familiarity with pre-sales processes and tools, including CRM systems and proposal management software, is a plus
  • Experience creating technical documentation or proposals for engineering, facility maintenance, or manufacturing industries
  • Ability to build rapport and trust with customers and internal teammates
  • Familiarity with creating and managing content for large-scale proposals or bids
  • Ability to work Monday–Friday, 8 hours, in person
