About the role
Key responsibilities & impact- Manage invoicing for revenue-generation items within the Property Marketing COE
- Track outstanding invoices, follow up on approvals, and resolve discrepancies with finance, brokerage teams, and internal partners
- Maintain billing records and support revenue-generation performance reporting
- Improve invoicing workflows to reduce errors and turnaround time
- Troubleshoot and optimize Asana workflows, project templates, and platform usage
- Monitor workflows to identify bottlenecks and improve project throughput and service delivery
- Own and maintain Property Marketing COE SharePoint sites, templates, and resources
- Evaluate and evolve team processes, tools, and platforms with the Director of Property Marketing
- Document and maintain process and operating guides
- Support rollout of new tools, processes, and workflow changes, including training and change-management materials
- Manage external vendor relationships, onboarding, communication, and issue resolution
- Research, source, vet, and compare vendors and marketing resources
- Support vendor contracting, pricing discussions, and performance tracking
- Maintain an inventory of vendors, contacts, capabilities, and pricing
- Develop onboarding guides and support onboarding for new hires, contractors, and transitioning team members
- Serve as a resource for process, tool, and operational workflow questions
- Develop client reporting and analytics materials
- Build decks and supporting materials for internal and client-facing meetings
- Maintain reporting templates and dashboards
- Partner with the Director of Property Marketing on operational initiatives
- Identify operational gaps, inefficiencies, and risks; recommend solutions and drive issues through resolution
- Support special projects and ad hoc operational needs
Requirements
What you’ll need- Bachelor's degree in Marketing, Business, Communications, Operations, or a related field preferred
- 3+ years of marketing operations, business operations, project coordination, or related professional experience
- Commercial Real Estate and/or property marketing experience preferred, but not required
- Demonstrated experience managing invoicing, vendor relationships, or financial/administrative workflows
- Strong working knowledge of Asana or comparable project management platforms, including workflow troubleshooting and optimization
- Experience managing or maintaining SharePoint sites or similar intranet/content management platforms
- Strong analytical skills with the ability to build clear, accurate reporting and translate data into actionable insights
- Excellent organizational and process-management skills with the ability to manage multiple operational workstreams simultaneously
- Self-motivated and proactive, with a continuous-improvement mindset and comfort identifying and solving process gaps
- Comfortable working in a fast-paced, deadline-driven environment while managing competing priorities
- Advanced proficiency in Microsoft Excel and PowerPoint
- Experience with Power BI or other business intelligence/reporting platforms is a plus
- Strong written and verbal communication skills, with the ability to work effectively across multiple teams, functions, and levels of an organization
