About the role

Key responsibilities & impact
  • Deliver client-facing remote site management and facilities coordination services for sites across the APAC region
  • Prepare, assist with, and implement effective remote site support services
  • Develop and improve business processes, practices, and management systems
  • Coordinate site-based vendor and occupier engagement, liaison, and relationship management
  • Collect and collate building and facilities information and data
  • Maintain standard operating procedures and operational documents
  • Handle, manage, and close out site service work requests
  • Report status, progress, and performance for managed portfolios and properties
  • Perform administrative tasks supporting country teams
  • Maintain reporting cycles, playbooks, call trees, contingency plans, and the Business Continuity Plan
  • Create, manage, and track purchase orders
  • Assist with invoice processing, payment monitoring, financial reporting, and data consolidation
  • Collaborate with Finance to resolve system issues and discrepancies
  • Identify operational needs, risks, and service gaps
  • Coordinate with property management, technical services, workplace operations, housekeeping, and third-party partners
  • Uphold safety, security, compliance, and confidentiality standards
  • Provide training and knowledge-sharing sessions for country teams
  • Support events, tours, executive engagements, and special onsite activities

Requirements

What you’ll need
  • Diploma or Bachelor’s degree (or equivalent experience)
  • Proficient in spoken and written English and Cantonese
  • Must have 1–3 years facility management and remote site operational exposures
  • Advanced skills in MS Office, including PowerPoint, Word, and Excel
  • Internet savvy with advanced IT skills for remote communications
  • Willingness to work shifting schedules and holidays
  • Strong coordination and organizational skills
  • Clear communication and stakeholder engagement
  • Attention to detail and accuracy
  • Basic financial awareness, including invoicing, tracking, and reconciliation
  • Adaptability and willingness to learn
  • Problem-solving and proactive mindset
